Hiring: Administrative Assistant Company: CAZ Investments Location: Houston, TX Job Posted Time: 2026-09-10 14:17:13 Target Skills & Keywords : Asana, Salesforce About the job Experience: •2 to 3 years of experience as an Administrative Assistant, Personal Assistant, or in a similar coordination role •3 years of experience as an Administrative Assistant, Personal Assistant, or in a similar coordination role Required Skills: •Coordinate and maintain the Principal's calendar, scheduling meetings and prioritizing appointments based on guidance provided •Plan, coordinate, and confirm travel arrangements, including airfare, hotels, transportation, meals, and related logistics •Prepare for meetings by organizing agendas, compiling materials, and coordinating logistics for both in-person and virtual meetings •Coordinate internal and external meeting scheduling, including invites and room and technology setup •Track and follow up on action items resulting from meetings and coordination efforts to ensure timely completion •Actively facilitate and support planning and execution of Team events, offsites, and other firm gatherings •Administer firm technology tools, such as Asana, DealCloud, and Salesforce, to support Team collaboration and task tracking •Manage administrative tasks such as completing expense reports, processing receipts, and maintaining necessary documentation and filings Qualifications: •At least 2 to 3 years of experience as an Administrative Assistant, Personal Assistant, or in a similar coordination role •Operational familiarity with AI tools such as Copilot or Claude, with the ability to apply them to improve day-to-day efficiency. •Exceptional organizational and written communication skills and exacting attention to detail •A constant focus on planning ahead and for the "what if" factor •Team player with a strong work ethic and a proactive approach to support •High level of composure, discretion, and resilience, with the ability to remain effective under pressure and adapt quickly to shifting priorities •Demonstrated capacity to work in a fast-paced environment under strict deadlines, and to learn quickly and adapt to the role •Calendar and Time Management: Owns the Principal's calendar end to end, resolving conflicts before they become a problem and building in buffer time for prep and travel •Written and Verbal Communication: Drafts emails and materials that read professionally, adapts tone across audiences, and serves as a polished point of contact by phone and in person •Organization and Attention to Detail: Maintains filing, contacts, expenses, and follow-ups with zero dropped items, and proofs every outbound communication Compensation: •Competitive benefits and rewards package Interested candidates, please apply directly through the job posting on company's career page or try via AI auto apply on this platform.
